Effective Date: June 1, 2026
By placing an order — online, in person, or by phone — with STMA Printing, you
agree to be bound by the following Terms and Conditions. Please read them carefully before
submitting your order. STMA Printing reserves the right to update these terms at any time
without prior notice.
1. Acceptance of Terms
Placing an order with STMA Printing — whether online, in person, or by phone —
constitutes acceptance of these Terms and Conditions in their entirety. If you do not agree
to these terms, please do not place an order. STMA Printing reserves the right to refuse
service to anyone at its discretion.
2. Payment Policy
All orders — whether placed online, in person, or by phone — must be paid in
full at the time the order is placed. Orders are not confirmed and will not be scheduled
for production until full payment has been received and confirmed.
Accepted payment methods for in-person orders:
- Credit or debit card
- Cash
- Payment link (sent via email or text)
- Pay through account (STMA wholesale members only — active membership and valid
proof of membership required; in-person orders only)
2.3 Phone Orders
For orders placed by phone, work will not begin until upfront payment has been received. A
payment link will be sent to the customer. Production will be scheduled upon confirmation
of payment.
2.4 STMA Member Accounts
Active STMA wholesale members with a valid account in good standing may be eligible to pay
through their member account for in-person orders only. Proof of active membership must be
presented at the time of the transaction. This payment method is not available for online
orders. STMA Printing reserves the right to revoke account payment privileges at any
time.
3. Pricing & Quotes
- All prices are subject to change without notice.
- Quotes provided by STMA Printing are valid for 30 days from the date of issuance. After
30 days, the quote will expire and a new quote must be requested, as pricing and
availability may have changed. Upon receipt of full payment, the order status will be
advanced from Quote/Draft to Order Confirmed, at which point STMA Printing will begin
processing the order.
- Quoted prices do not include applicable taxes, rush fees, or shipping costs unless
explicitly stated.
- STMA Printing reserves the right to adjust a quote if the final file specifications
differ materially from those described at the time of quoting.
4. Turnaround Time
4.1 Standard Turnaround
Standard turnaround is broken into two stages:
- File Review & Approval: 2 to 3 business days from the time a file
is received to prepare and send a proof for customer approval.
- Production: 1 to 2 business days from the time customer approval is
received.
When a proof is sent to the customer for approval, the turnaround clock is paused and will
resume only once approval has been received. Turnaround time does not include weekends,
holidays, or time spent awaiting customer response.
4.2 Rush Orders
Rush production is available upon request, subject to capacity. Rush orders are completed
within 1 to 2 business days. A rush fee will be applied to the order at the following
rate:
- $15.00 minimum rush fee, OR 30% of the order subtotal —
whichever is higher.
Rush orders must be confirmed with STMA Printing staff before placement. Rush availability
is not guaranteed and is offered on a first-come, first-served basis. Rush fees are
non-refundable once the order has been placed, except in the event that STMA Printing is
unable to fulfill the order within the agreed rush timeframe, in which case the rush fee
will be refunded in full. The base order amount remains non-refundable in such cases unless
the order otherwise qualifies for a refund under Section 11.
4.3 Turnaround Disclaimer
Turnaround times are estimates and not guarantees. STMA Printing is not liable for delays
caused by file issues, customer approval delays, equipment downtime, supplier delays, or
circumstances beyond our control.
Please note that delays may occur during our promotional printing period, which begins on
the 15th of each month and continues through the end of that month. We recommend placing
time-sensitive orders before the 15th to avoid potential delays during this period.
5. File Submission & Artwork
5.1 File Requirements
Customers are responsible for submitting print-ready files that meet STMA Printing's file
requirements. Recommended specifications include:
- PDF, AI, EPS, or high-resolution TIFF/JPEG formats
- Minimum resolution of 300 DPI at final print size
- All fonts embedded or converted to outlines
- Color mode: CMYK for best print accuracy
- Bleed of at least 0.125" where applicable
STMA Printing is not responsible for output quality issues resulting from low-resolution
files, incorrect color modes, missing fonts, or improper file setup submitted by the
customer.
5.2 File Review
STMA Printing will perform a basic preflight check on submitted files. If issues are
identified, the customer will be notified. Production will not begin until the file has
been confirmed as print-ready. STMA Printing does not perform design corrections as part of
standard printing services unless design services have been separately arranged.
5.3 Color Accuracy
Colors displayed on screen may differ from final printed output due to variations between
digital displays and printing processes. STMA Printing prints in CMYK and cannot guarantee
an exact match to RGB or Pantone colors unless a color match service has been arranged. We
are not responsible for color variations resulting from customer-supplied files.
5.4 AI-Generated Artwork
Customers submitting AI-generated images or artwork must be aware of the following
limitations:
- AI-generated images are typically produced at low or inconsistent resolutions and may
not meet the minimum 300 DPI requirement for high-quality print output.
- AI-generated files may not scale accurately to the requested print size and may result
in blurry, pixelated, or distorted printed output.
- Customers must disclose at the time of order submission if any artwork is AI-generated.
STMA Printing will flag potential quality concerns during the preflight review.
- STMA Printing is not responsible for unsatisfactory print quality resulting from
AI-generated files. No reprints or refunds will be issued for quality issues
attributable to AI-generated artwork.
5.5 Design Services
STMA Printing offers complimentary minor editing on qualifying orders. For purposes of this
policy, minor editing is defined as any design work estimated to take less than 30 minutes
to complete. The following terms and limitations apply:
- Free design applies to simple layout and text adjustments on existing templates or
customer-provided content.
- Custom design work, logo creation, or complex multi-element layouts may be subject to a
design fee.
- STMA Printing reserves the right to determine whether a request qualifies as minor
editing or custom design work.
- Minor editing does not guarantee unlimited revisions. Additional revision rounds beyond
what is reasonably included in the original quote may be billed at our standard design
rate at STMA Printing's discretion.
- Design work is performed for the purpose of printing with STMA Printing. Files created
by STMA Printing remain the property of STMA Printing unless the customer purchases the
source files separately.
- Customer-submitted and STMA-created files are retained for up to 3 years from the date
of the last associated order. Files older than 3 years will be permanently deleted
without prior notice to the customer. Customers who wish to retain access to their
source files beyond this period are encouraged to purchase them or maintain their own
copies.
6. Approval & Proofing
For orders requiring customer approval before printing, a digital proof will be provided for
review. The following conditions apply:
- Customers must review and approve their proof before production begins. The order will
remain in Awaiting Approval status until a response is received.
- If approval is not received within 30 days of the proof being sent, the order status
will be updated to No Response and the customer will be notified on that day that the
order will be automatically canceled after 7 additional days if no communication is
received. If no response is received within those 7 days, the order will be canceled
and no refund will be issued for any payment already made.
- Once a proof has been approved by the customer, STMA Printing is not responsible for
any errors in the approved file, including but not limited to spelling, grammar,
layout, color, or design.
- Approval constitutes the customer's confirmation that the file is correct and ready to
print. STMA Printing will proceed with production immediately upon approval, advancing
the order to Ready to Print status.
7. Cancellations
The following cancellation terms apply based on the current order stage. Customers may
submit a cancellation request at any stage prior to Ready to Print through the website or
by contacting us through our website. The request will move the order to Cancel Requested
status and will be reviewed by STMA Printing. The applicable fee will then be determined in
accordance with the terms below:
- Orders in Quote/Draft or Order Confirmed status may be canceled without penalty. A full
refund will be issued.
- Orders in Design Started or Awaiting Approval status may be canceled prior to customer
approval and are subject to a cancellation fee at STMA Printing's discretion, based on
the work already completed. Any cancellation fee will be retained by STMA Printing and
the remaining balance will be refunded within 5 to 7 business days.
- Orders that have been approved by the customer and advanced to Ready to Print status or
beyond may not be canceled under any circumstances.
- Rush orders in Design Started status or beyond may not be canceled once the rush has
been confirmed and scheduled.
- STMA Printing reserves the right to cancel any order at its discretion and will provide
a full refund if cancellation is initiated by STMA Printing.
8. Order Pickup & Abandoned Orders
- Customers will be notified when their order reaches Ready for Pickup status via email,
phone, or text.
- Orders must be picked up within 30 days of the ready-for-pickup notification.
- Orders not picked up within 30 days will be considered abandoned and will be discarded.
No refund will be issued for abandoned orders. Any PS Credits earned on an
abandoned order will be forfeited and removed from the customer's account.
- If a new order is required after abandonment, it must be placed as a new order
following all current policies and pricing.
- STMA Printing is not responsible for any loss, damage, or degradation of products left
beyond the 30-day pickup window.
9. Delivery
- Delivery is available upon request and is not a standard or guaranteed service. It must
be arranged by contacting STMA Printing through our website or at (737) 381-2357 before
your order is placed.
- Delivery costs are the responsibility of the customer and will be added to the order in
accordance with the quoted amount.
- STMA Printing is not responsible for delays, damage, or loss of items that occur during
transit once the order has been handed to the carrier.
- Delivery timelines are estimated and are not guaranteed by STMA Printing.
10. PS Credits Program
STMA Printing offers a PS Credits loyalty program with the following terms:
- Customers earn 1% back in PS Credits on every dollar spent before tax, excluding
shipping — that's $0.01 for every $1.00, credited to the nearest cent.
- Credits are added once the order reaches Completed status. If an order is
subsequently canceled or disputed, the credits earned on it are reversed.
- Credits accumulate automatically and are tied to the customer's account.
- Credits may be applied at checkout at the customer's discretion.
- Credits have no cash value and cannot be transferred, sold, or redeemed for cash.
- STMA Printing reserves the right to modify, suspend, or terminate the credits program
at any time without notice.
- Credits do not apply to rush fees, shipping costs, or taxes.
- PS Credits expire after 24 months of account inactivity. Inactivity is defined
as no completed orders placed during that period. Expired credits are forfeited and
cannot be reinstated.
11. Refunds & Reprints
STMA Printing takes quality seriously. If you believe your order was printed incorrectly due
to a production error on our part, please contact us within 5 business days of pickup or
delivery. The following conditions apply:
- Reprints or refunds are only available for errors caused by STMA Printing (e.g.,
incorrect color, wrong size, production defects).
- Reprints or refunds are not available for errors in customer-supplied files, including
spelling, design, color, or layout mistakes approved by the customer.
- Claims must be accompanied by the original printed materials and the original order
number.
- STMA Printing will determine, at its sole discretion, whether a reprint or refund is
appropriate.
- No refunds will be issued for completed orders that meet the specifications of the
approved proof.
12. Intellectual Property
- By submitting files for printing, the customer warrants that they are the legal owner
of, or have obtained all necessary rights and permissions for, all artwork, logos,
images, text, and other content submitted.
- The customer assumes full legal responsibility for any copyright, trademark, or
intellectual property violations contained in submitted files.
- STMA Printing will not knowingly reproduce copyrighted or trademarked material without
proper authorization. STMA Printing reserves the right to refuse any order that it
believes may infringe on the intellectual property rights of a third party.
- STMA Printing retains no ownership rights over customer-supplied artwork or designs.
Customer files are used solely for the purpose of fulfilling the order.
- STMA Printing may photograph completed work for portfolio or marketing purposes unless
the customer explicitly requests otherwise in writing at the time of the order.
13. Prohibited Content
STMA Printing reserves the right to refuse to print any content that:
- Is defamatory, obscene, offensive, or violates any applicable law or regulation
- Promotes illegal activities or discrimination
- Infringes on any intellectual property or privacy rights
- Contains false or misleading information
STMA Printing is the sole judge of whether submitted content falls within these
restrictions. Refusal to print prohibited content does not entitle the customer to a refund
of any non-refundable fees already paid.
14. Limitation of Liability
- STMA Printing's total liability for any claim arising from an order shall not exceed
the amount paid by the customer for the specific order giving rise to the claim.
- STMA Printing is not liable for any indirect, incidental, consequential, or special
damages arising from the use of our products or services, including but not limited to
lost profits, business interruption, or missed deadlines.
- STMA Printing is not responsible for errors in customer-approved proofs,
customer-supplied artwork, or files that do not meet our submission specifications.
- STMA Printing does not guarantee that printed colors will exactly match digital proofs,
screen displays, or Pantone color references.
15. Privacy
STMA Printing collects customer information solely for the purpose of processing orders,
communicating about orders, and improving our services. We do not sell or share customer
information with third parties except as required to fulfill orders (e.g., shipping
carriers). Customer files and artwork are stored securely and are not shared without
permission. Please refer to our Privacy
Policy for full details.
16. Payment Pending Orders
Because STMA Printing's standard policy requires full payment at the time of order, a
Payment Pending status is not a standard part of the order workflow. This status is used on
a case-by-case basis at the sole discretion of STMA Printing (for example, in situations
involving pre-approved arrangements or extenuating circumstances). Orders placed under a
Payment Pending arrangement are not guaranteed to hold a production slot until payment has
been received and confirmed. STMA Printing reserves the right to cancel any order in
Payment Pending status that remains unpaid without further notice.
17. Disputes
If you have a concern or dispute regarding an order, we ask that you contact us directly
before initiating a chargeback or dispute with your payment provider. The following terms
apply:
- Disputes must be submitted in writing through our website with your order number and a
description of the issue.
- STMA Printing will respond to all dispute submissions within 5 business days.
- STMA Printing reserves the right to document and contest any chargeback initiated
without prior written notice to STMA Printing.
18. Indemnification
The customer agrees to indemnify, defend, and hold harmless STMA Printing, its owners,
employees, contractors, and agents from and against any and all claims, damages, losses,
liabilities, and expenses (including reasonable attorney's fees) arising out of or related
to: (a) the content submitted by the customer for printing; (b) the customer's violation
of any third-party intellectual property, privacy, or other rights; (c) the customer's
breach of these Terms and Conditions; or (d) the customer's use of STMA Printing's products
or services. This indemnification obligation survives the completion or cancellation of any
order.
19. Governing Law & Dispute Resolution
These Terms and Conditions shall be governed by and construed in accordance with the laws of
the State of Texas. In the event of a dispute arising from these terms or from any order
placed with STMA Printing, both parties agree to first attempt resolution through good-faith
communication. If the dispute cannot be resolved through direct communication within 30
days, both parties agree to pursue mediation before initiating any formal legal proceedings.
Any disputes that proceed to litigation shall be subject to the exclusive jurisdiction of
the courts located in Bexar County, Texas.
20. Changes to These Terms
STMA Printing reserves the right to update or modify these Terms and Conditions at any
time. Updates will be effective immediately upon posting to our website at stmaprinting.com.
Continued use of our services after any such changes constitutes acceptance of the new
terms. Customers are encouraged to review these terms periodically.
